If your team runs on Microsoft 365, the place leads should end up is a workbook, not a Leads Center tab nobody checks. Sending Facebook leads to Excel gives everyone one live list they can sort, filter, share in Teams and call from, updated the moment someone fills in your form.
This guide sets it up step by step in about two minutes, then compares the other ways to export Facebook leads to Excel, free and paid, so you can see what each one does and doesn't do.
To send Facebook lead ads to Excel automatically, connect your Facebook Page to a workbook in your OneDrive. In LeadSender: connect Facebook, choose Facebook Leads to Excel, pick your Page and form, sign in with Microsoft, choose a workbook or click Create a new workbook, match the fields, and turn it on. Every new lead then lands as its own row within seconds. It works with personal and business Microsoft accounts.
How to send Facebook lead ads to Excel with LeadSender
This is the setup most teams want: every answer in its own column, a new row within seconds, and an email if a lead ever fails to deliver. It takes about two minutes.
Start a free trial and connect Facebook
Start your 7-day free trial of LeadSender (no card needed), then click Connect Facebook and sign in with the account that manages your Page. Tick the Pages you want to send leads from.
Choose Facebook Leads to Excel
From Integrations, pick the Facebook Leads to Excel template. Then select your Facebook Page and the lead form you want to send. The builder previews a lead from that form, so you see real answers while you set up.

Sign in with Microsoft
In Select or connect Excel, click Connect. Microsoft's own sign-in opens: sign in with the account whose OneDrive should hold your leads, then accept LeadSender's access to your files. LeadSender never sees your password. A personal Outlook.com or Hotmail account works, and so does a work or school account if your company allows it.

Pick a workbook, or create one
Open Workbook and choose any workbook in your OneDrive, then the Sheet inside it. Or click Create a new workbook (Recommended): LeadSender makes one in your OneDrive, named after your Page, with a frozen header row and one column for every field on your form, including the Page, campaign, ad and form name.

Match form answers to columns
The left side is the columns in your sheet. Name, email and phone are matched for you. For each custom question, like budget or timeline, pick the column it should go into. Every answer gets its own cell, so the workbook stays sortable and filterable.

Send a test lead
Click Send a test lead. LeadSender writes a real row through your mapping and shows exactly what it sent. Open the workbook and check the new row. Want a brand new lead to test with? Use our free Meta Lead Ads Testing Tool.

Turn it on
Click Turn on. From now on, every new lead from that form, on Facebook or Instagram, is added to your workbook as a new row within seconds. Open it in Excel on the web, the Excel app or Teams.

Every Facebook lead in your Excel workbook, in seconds
Your own columns, one row per lead, and an email alert if a lead ever fails to deliver. Set it up once and never download a CSV again.
Why send Facebook leads to Excel?
- It's where Microsoft 365 teams already work. Share the workbook in Teams or OneDrive and everyone sees new leads without an Ads Manager login.
- Leads stop disappearing. Meta only keeps lead data for 90 days. Once a lead is in your workbook, it's yours.
- Speed to lead. A lead called within minutes is far more likely to answer. A live workbook makes a new lead hard to miss.
- Reporting you already know. Filters, PivotTables and charts on lead volume by form, campaign or day, without paying for a CRM.
- A clean handoff. Agencies and partners can share one workbook with a client instead of exporting files every week.
Free options from Meta
Download a CSV or XLS file. In Ads Manager, open the ad, click the leads count, and download new leads or a date range as CSV or XLS. You can do the same from your Page's Forms library. It's free and opens straight in Excel, but it's manual every time, nothing updates on its own, and Meta deletes leads after 90 days. Our guide on how to download leads from Facebook Ads Manager walks through it.
Meta's built-in connection. Meta's help center says you can connect Microsoft Excel or Google Sheets directly to Meta in Business Suite, after which new leads are added to your spreadsheet automatically. Look under Instant Forms, then CRM Setup. Some marketers report only Google Sheets in that list, so check what your account shows. If you also want your own column layout, a CRM or phone alert for the same lead, or an email when a lead fails, use a tool like LeadSender instead.

Using Zapier to send Facebook lead ads to Excel
Zapier can connect Facebook lead ads to Excel, with three catches. Facebook Lead Ads needs a paid Zapier plan or its trial. Zapier charges per task, so every lead uses part of your allowance. And Zapier's own help says its Excel app needs a Microsoft 365 Business or Enterprise account, with the workbook in OneDrive for Business: personal Outlook accounts aren't supported.
- Create a Zap with Facebook Lead Ads, New Lead as the trigger, and choose your Page and form.
- Add Microsoft Excel, Add Row (or Add Row to Table) as the action, and pick the workbook and sheet.
- Map each lead field to a column, test the step, and publish the Zap.
How to set up the workbook itself
- Keep row 1 as the header row. LeadSender matches answers to the column names in row 1. A workbook it creates already has one, frozen.
- Don't rename or reorder mapped columns once leads are flowing. Add new columns to the right instead, then click Refresh fields.
- Add your own working columns after the lead data: Status, Called by, Next step, Notes. New leads never overwrite them.
- Use an Excel table (Insert, Table) if you like: new leads are added as table rows, so filters, formulas and formatting extend to them.
- Share carefully. Lead workbooks contain personal data. Share with the people who need it, not with “anyone with the link”.
When Facebook leads don't show up in Excel
| What you see | Likely cause | Fix |
|---|---|---|
| No new rows at all | The integration is off or lost access | Check it's turned on, then send a test lead. Reconnect Microsoft or Facebook if asked. |
| Your workbook isn't in the list | It isn't in your own OneDrive | Move it into your OneDrive (files only on your computer or shared by someone else aren't listed), or create a new workbook. |
| Microsoft asks for admin approval | Your company controls which apps can connect | Ask your Microsoft 365 admin to approve LeadSender, then click Connect again. |
| Rows stopped after you edited the sheet | A mapped column was renamed, moved or deleted | Put the column back, or click Refresh fields and re-match it. |
| Test works, real leads don't | Your live ad uses a different form | Check the form in your ad matches the one in the integration. |
| Old leads are missing | Only new leads are sent after setup | Download older leads as XLS from Ads Manager (within Meta's 90 days). |
The fastest way to find where it breaks is a test lead. Our free Meta Lead Ads Testing Tool creates one on your real form, and this guide explains every error you might see.
Facebook Lead Ads to Excel: FAQs
Can I send Facebook lead ads to Excel automatically?
Yes. With a tool like LeadSender, every new lead from your Facebook or Instagram lead form is added to your Excel workbook as a new row a few seconds after it is submitted. The workbook lives in your OneDrive, so you can open it in Excel on the web or in the Excel app.
Does it work with a personal Microsoft account?
Yes. LeadSender works with personal Microsoft accounts (Outlook.com, Hotmail, Live) and their OneDrive. Zapier's Excel app, by contrast, only supports Microsoft 365 Business or Enterprise accounts.
Does it work with a work or school Microsoft 365 account?
Yes, if your organization allows people to connect apps. Some companies require their Microsoft 365 admin to approve an app first; if Microsoft asks for admin approval, send the request to your IT admin and connect again once it's approved.
Does the workbook need to be in OneDrive?
Yes. LeadSender writes to the copy in your OneDrive, which also keeps any synced copy on your computer up to date. A file that only exists on your computer can't receive leads.
Can LeadSender create the Excel workbook for me?
Yes. Choose Create a new workbook (Recommended) and LeadSender makes one in your OneDrive, named after your Facebook Page, with a header row that matches your form. Nothing to set up by hand.
Can I use a workbook I already have?
Yes. Pick any workbook in your OneDrive and the sheet inside it. LeadSender reads the column names in row 1 and lets you match each form answer to one of them.
Is there a free way to send Facebook leads to Excel?
Downloading your leads as a CSV or XLS file from Ads Manager or your Forms library is free, but it's manual every time. Meta's help center also says you can connect Microsoft Excel directly to Meta from Business Suite, so check if it's available for your account. LeadSender has a 7-day free trial with no card.
How fast do Facebook leads reach Excel?
With LeadSender, a few seconds after the form is submitted. In our own test, the first lead into a brand-new workbook arrived in 2.2 seconds.
Will phone numbers and zip codes keep their format?
Yes. LeadSender writes every answer as text, so a phone number keeps its plus sign and a zip code keeps its leading zero instead of Excel turning them into numbers.
Will old leads be added to the workbook?
No, only new leads from the moment you turn the integration on. For earlier leads, download them from Ads Manager as an XLS file and paste them in once. Meta only keeps leads for 90 days.
Does this work for Instagram lead ads?
Yes. Instagram lead ads use the same Instant Forms on your Facebook Page, so the same setup sends Instagram leads to Excel too.
Can I send the same lead to Excel and my CRM or phone?
Yes. In LeadSender, set up one integration to Excel and another to your CRM, Email, SMS or WhatsApp for the same form. The workbook keeps the history; the alert gets someone calling.
